SPI Group’s Digital Solutions Create a Self-Service Tool for Relocations

Challenge

The Pfizer Global Mobility team looked to modify their online relocation tool so managers could relocate a colleague – from the cost estimate phase to the actual move – on their own.  The old procedure was fragmented, used manual processes and was not user-friendly. Authorizing domestic or international moves could take weeks.

Actions

Pfizer worked with SPI Group to build an integrated back end system that centralized and streamlined the process. The team:

  • redesigned the site, updated the process and created branded email templates;
  • developed a self-service tool for managers so they could build models, select benefits, estimate costs, generate letters and handle the workflow with notifications at each step;
  • enhanced the system to include currency conversions for international assignments as well as workflows for visa and international extended business travel;
  • introduced a search function;
  • enabled a daily notification process to alert managers about pending tasks;
  • initiated a daily process to update charge code data;
  • incorporated flexibility so the system could accommodate policy changes.

Results

The client was delighted with our work. The new system, which incorporated validated data and automatic workflows, shortened approval time from weeks to hours, and made the Global Mobility team’s job easier.
